Event Coordinator

The European Energy Forum organizes approximately 25 discussions per year, bringing together experts, policymakers, and professionals in the energy sector to foster idea exchange and drive innovation. We are a small, dynamic, and collaborative team, looking for an event coordinator with a strong interest in energy-related issues ready to manage the logistics, organization and communication of these strategic gatherings.

Position overview:

As an event coordinator, you will be responsible for the logistical and administrative management of events and the operational follow-up of our activities. Your key responsibilities will include:

🎯 Event management & organization

  • plan, organize, and execute debates and discussions: handle logistics, including invitations, registrations, participant lists, presentations, follow-up, and event summaries
  • oversee event logistics, effectively managing members, service providers, and participants in a structured manner

🎯 Operational support

  • update and maintain member databases
  • provide daily support to a small team in managing projects and handling event administration

🎯 Event communication support

the candidtate will have a strong interest in energy-related topics and willingness to learn in order to :

  • develop communication materials both in terms of content ( invitations, programs, presentations) and visuals ( canva, …) in collaboration with the team
  • write summaries of the discussions in English.
  • implement event promotion through digital tools (website, social media, email campaigns, information distribution)

Profile & qualifications:

  • experience in event management and logistics: ability to rigorously handle all steps related to dinners and events gathering between 50 and 120 participants
  • excellent organizational and time management skills, with the ability to prioritize tasks effectively
  • skills in social media management, cms, marketing, and familiarity with new technologies and software such as word, excel, publisher, canva, brevo, etc.
  • strong interest in the energy sector and willingness to familiarize yourself with energy-related challenges
  • ability to work in a small team and manage multiple responsibilities simultaneously
  • fluent in both English and French (spoken and written)

What are we looking for:

  •  degree in event planning, project coordination, logistics, operational marketing, or digital communication
  • at least 1 year of relevant experience in a similar role
  • fluent in English, with a good level of French
  • interest in energy-related topics
  • strong organizational and writing skills
  • proficiency in digital tools and office software (ms office, canva, brevo, cms, etc.)
  • eligibility to work and live in Belgium
